Top Management Assistant & Travel Coordinator

Main responsibilities:

  • Keeping minutes of meetings with the participation of the CEO and/or Top management
  • Fulfilling the tasks set by the CEO
  • Managing and organizing scheduling appointments, meetings, and events
  • Participation in negotiations, business meetings, special receptions
  • Coordination of business trips (booking tickets, insurance, visa support for company employees)
  • Preparation for monthly business trip reports
  • Collecting information for budgeting and tracking
  • Preparation of contracts with providers (full cycle: application for tender, conclusion of contract, making payments)
  • Preparation of documents for signature
  • Assistance & Organization in conducting internal and external conferences / meetings
  • Handling Top management team requests and queries appropriately.

 

Requirements:

  • diploma of higher education
  • fluency in Azeri & English languages
  • extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, PowerPoint or Outlook
  • organizational and communication skills
  • project management & analytical skills.
